Admin Assistant

JOB DESCRIPTION

Responsible to: Trust Director

Reports to: Personal Assistant to the Trust Director

Main Purpose of role: To provide administrative support for Sophie House and Martha House


Principle Duties and Responsibilities

1.0 COMMUNICATION

  • Receive incoming telephone calls, answering queries or passing the caller to an appropriate member of staff.

  • Welcome all visitors to Martha Trust and provide refreshments as directed.

  • Record incoming/outgoing post and deliveries.

  • Circulate incoming post as required.

2.0 PURCHASING

  • Assist ordering of goods/services.

  • Order food requirements from Tesco/Sainsbury’s.

3.0 ADMINISTRATION

  • Issue residents pocket money to the care staff following the correct procedure.

  • Check the residents pocket money balance weekly.

  • Filing and archive.

  • Record PA testing and inventory for each home on Microsoft access.


This job description may be subject to review and change by agreement with the post holder according to the needs of the service. The post holder must undertake any reasonable function as requested by the Home Manager, Deputy Home Manager, Trust Director or Deputy Trust Director.

Martha Trust operates a no smoking policy in all buildings, work areas, vehicles, and when on duty but working away from Martha Trust. Martha Trust operates a policy banning the use of mobile phones whilst on duty other than in an emergency.

The post holder will be required to comply with regulations relating to Health and Safety at Work and the Data Protection Act. The post holder will be required to comply with all policies and procedures issued by and on behalf of Martha Trust Hereford Limited.
